Beginning JULY 1st, 2011, the policies and procedures pertaining to participating and paying for leagues at the Elkhart Sports Center will change. Please read below for these new rules and regulations.
General Competition Rules and Regulations
League/Camps/Clinic/Individual fees
Teams - Please refer to each league individually for payment policy for that league. The ESC will institute a new payment program beginning October 1st, 2011. Each group will have the option of paying on fee for paying the entire fee up front and an alternative fee for paying your bill over time. If you choose the payment plan you must make a $100 deposit before your first game. A signed waiver and roster form must also accompany this deposit either via on-line application or via paper form which is located on our website. THERE WILL BE NO EXCEPTIONS!! Teams must pay something every week or they will not be allowed to participate. If ESC management believes that a team is not keeping up with their fees, that team will be notified that they need to pay a certain amount before they can play their next game. Any missed games due to unpaid balance cannot be made up. (There will be no exceptions on unpaid balances)
Camps/Clinics/ Other individual sign-up programs – A deposit must be made before you will be put in the camp/clinic or other program. A signed waiver must accompany this. The deposit amount will be subject to change depending on the amount owed for the camp/clinic/ ect… Please check the website for that particular event for details.
Tournament/Shootout Fees - For tournaments, a $100 deposit and signed waiver/roster are due at time of registration the balance of the team registration fee must be paid in full before the start of the team's 1st game.
Payment collection – A team coach/captain/representative is responsible for collecting money from individual players and providing payment to the Elkhart Sports Center. We will no longer accept payments from rostered players or other individuals of that team.
Rescheduling
Any and all special scheduling requests must be made in writing on the registration form, on-line registration form or via email directly to ESC general manager at 574-294-5050 or via email at info@elkhartsportscenter.com. Telling another Elkhart Sports Center staff member verbally, by phone, or by e-mail will not suffice. NO EXCEPTIONS. A reschedule request needed after the final schedule has been published will incur a $25 fee to the team needing to reschedule. This fee will be due immediately. Note: Elkhart Sports Center will do everything possible to deal with special requests, but due to league size, field availability, etc., it is not possible to guarantee all requests will be honored. Your team registration is your pledge to every team and player in the league that you will fulfill your commitment to the league schedule.
Team Rosters
TEAM ROSTERS MUST BE COMPLETED & SIGNED WAIVER FORM SUBMITTED BEFORE YOUR TEAM WILL BE SCHEDULED. (Parents must sign for youth players) All players must be listed on the official team roster with corresponding parent signature (if participant is a minor) to be eligible to play. This can be done by filling out a team roster and signing your team up on-line. Teams that do not submit a team roster and signed waiver form by the first game will NOT be allowed to participate. NO EXCEPTIONS TO THE SIGNED ROSTER AND WAIVER RULE!! Roster forms are available on-line or at the Elkhart Sports Center and MUST be filled out completely. (Required information will be marked with a star) All roster/waiver forms that are not filled out completely will not be accepted.
Age Eligibility
Soccer Age eligibility (Fall 2011 – Winter 2012) – Your age is based on what your age is as of August 1, 2011. For example, if you are 10 years of age as of 8/1/2011, you must play in the U12 age division. If you turned 10 years of age as of 8/2/2011, you would be able to play in the U10 age division. This example applies to all respective age divisions. (Players may play up in age division) Coaches must be prepared to establish all players are eligible to participate in that grade division by producing a current grade report from each player, if requested. Players MAY NOT be “double-rostered” on teams within the same grade and division.
Basketball age eligibility – basketball eligibility is by grade level. For example, if you are signed up in the 5th grade league you cannot have any player on your team above grade 5. (You may have kids from a lower grade on your team) Coaches must be prepared to establish all players are eligible to participate in that grade division by producing a current grade report from each player, if requested. Players MAY NOT be “double rostered” on teams within the same grade and division.
Violations of age eligibility – Teams using illegal players will forfeit ALL games played to date –whether or not the illegal player participated in those games. (Unless authorized by the Elkhart Sports Center) A second violation of this rule will result in the team being removed from the league without refund. All rosters must be finalized by week two.
